Senior Team Administrator in London supporting the management team and project workflows. You will oversee administrative processes, scheduling, travel, onboarding, and QA/compliance to enable efficient cross-functional delivery. You’ll work with a global team to prepare reports, manage documentation, and coordinate meetings and events. Responsibilites
- Main point of contact for admin tasks following company processes
- Create and manage Teams channels with standard folder structure
- QA checks on documents; raise inconsistencies and correct
- Support QA compliance and document filing
- Process expenses and team timesheets
- Arrange internal, external, and online meetings; manage rooms and catering
- Administer team holiday leave
- Arrange domestic/international travel; prepare itineraries; follow travel policy
- Assist onboarding and offboarding of team members
- Collate and format specifications/reports/presentations using templates; process general correspondence
- Record minutes/actions; follow up to close actions
- Ensure management prepared for meetings with briefing papers
- Liaise with clients and visitors; arrange business development meetings
- Coordinate NDA, Sub Consultancy Agreements, and Client Contracts via DocuSign
- Compliance checks for onboarding suppliers/clients
- Coordinate sector/team management meetings and events
- Update team on company updates via 1:1 and team meetings
- PA support to management (diary and inbox)
- Conduct research and report findings
- Support conference/client event management
- Support Ethics and Risk compliance processes
- Mentor and guide Team Administrators
- Attend Global/Europe Admin Team meetings; holiday cover for Office Manager
- Ad hoc admin tasks; Admin Champion for area
- Keep bid library up to date
- Set up enquiries/projects per process and inform project team
- Assist with RFPs/PQQs/Tenders with project management team
- Draft GoNoGo; schedule project kickoff; monitor milestones and reviews
- Assist with Risk Management Committee prep
- Create project case studies aligned with branding
- Liaise with external project stakeholders (meetings/contracts/POs/deadlines)
- Monitor commercial aspects per Delegation of Authority and Project Delivery Process
- Draft Sub Consultancy Agreements and cross-sector work orders
- Attend project QA audits and close actions
- Assist engineer site activities (risk assessments/MDS, PPE)
- Mentor Project Team Administrators
- Participate in Global/Europe Admin Team meetings
- Holiday cover for admin team
- Ad hoc Admin Champion for area
- Keep bid-related documents current
- Coordinate project setup and communication to project teams
- Support procurement and contract follow-ups
Key requirements
- Experience as Project Team Assistant or Personal Assistant supporting management
- Experience in compiling complex bid/pre-qualification tenders (desirable)
- Experience in busy consultancy office environment (desirable)
- Proficient in managing busy/complex diaries and travel
- Structured, process-oriented mindset
- Excellent time management, multi-tasking, and independence
- Strong organization and prioritization
- Accuracy and keen attention to detail
- Flexible hours with overtime as needed
- Excellent oral and written communication
- Ability to delegate and mentor junior staff
- Ability to work under tight deadlines
- Excellent MS Office 365 knowledge (Word; PowerPoint; Excel; Outlook; Teams)
- Knowledge of G-Suite (desirable)
- Knowledge of Salesforce, Planisware, Temis, Solar Winds ARM (desirable)
- Knowledge of DocuSign (desirable)
- Team player with understanding of engineering terms (desirable)
- Experience with ISO9001 and ISO14001 (desirable)
